Every pay period, the admin team at Eustis Body Shop faced the same grind. Eight locations. Different pay structures at each one. And a payroll process held together by Excel spreadsheets, manual clock-in entries, and a lot of patience.
Flag sheets came out of the shop management system, got keyed into spreadsheets by hand, and then uploaded to a payroll provider. It was the kind of process that works fine for one shop but starts to buckle when you're running eight.
"The time to process payroll was days," said Payroll Coordinator Shae Hinrichs.
When the back office slows down, the shop floor feels it
The drag wasn't limited to the admin team. Technicians had no way to check their own hours or pay during the week, so they walked up to production managers to ask. At the hourly locations, production staff were tracking numbers manually alongside their techs just to keep everyone on the same page.
Every one of those conversations pulled a manager away from the job of moving cars through the shop. The payroll process wasn't just slow. It was creating friction across the entire operation.

Then the pilot ended.
What happened next said more than any sales pitch could. Technicians started reaching out on their own, asking where the app went and when they could get it back. "Hey, where did this go? I'd like to see where my hours were, where my pay was at," said Ryan Clark, vice president of Eustis Body Shop.
When the people on the shop floor are asking for a tool back, the decision to keep it isn't much of a decision at all. Eustis turned it back on, and it stuck. The reception since has been overwhelmingly positive across the organization.
From days of payroll to half a day across eight shops
The most immediate change was speed. Payroll that used to take days now takes one day across all eight locations — sometimes even just half a day. The manual data entry, the spreadsheet uploads, the back-and-forth with the payroll provider all collapsed into a single, streamlined workflow.
"You can get payroll done in a day rather than being stressed about it for three," said Clark.
The bigger shift has been in how management runs the shops day to day. Pay Workflow gives the team a real-time view of where vehicles are in the repair process, where each location stands relative to its goals, and where things need attention.
"It gives us the information that we need to be able to very quickly identify areas that we need to either start pushing harder to get stuff moved through or areas that are going fine," said Location Manager Tim Burran. "It kind of frees us up to make quicker decisions."
Less time chasing numbers, more time in production
For technicians, the impact has been just as tangible. They can check their hours and pay from the app anytime, so there's no more tracking down a production manager to get a number.
Real-time access to hours and pay gives Eustis techs a clear picture of where they stand against their goals throughout the week, not just when payroll runs."It's been super easy to hop in there and just look at my hours, look at my pay, see exactly what I need to accomplish throughout the week," said Eustis Body Technician Jacob Keller.
That access changed the dynamic on the floor. Production managers who used to spend part of their day fielding pay questions and tracking numbers by hand can now focus on the work that actually drives throughput. As Clark put it, it freed production managers to stop micromanaging and start focusing on the things that make the operation more productive.
The payroll team noticed the difference, too. Different pay structures across locations used to mean a lot of manual reconciliation. Pay Workflow let the team dial in each location's structure and process everything through one system.
Tools to build for the future
Eustis already relies on CCC across its daily operations, from estimating and blueprinting to parts receiving and reporting. Pay Workflow fits into that broader relationship as one more piece of a platform the team uses to run the business.
